Printer Randomly Pauses or Goes Into Error State
Your printer keeps pausing mid-job or showing vague error messages? Here's how to diagnose and fix random printer errors.
What's Happening
You start a print job and it begins normally, then suddenly stops. Or maybe the printer shows "Error" or "Paused" status for no apparent reason. These random interruptions are usually caused by communication issues, driver glitches, or the printer detecting a problem it can't clearly communicate. Let's track down what's actually wrong.
Quick Checks (Do These First)
- Is there an error on the printer's display? Some errors show on the printer but not in Windows.
- Check paper, ink, and cartridge doors. Make sure nothing is low, empty, or open.
- Is printing paused in Windows? Check the print queue - Pause Printing might be enabled.
- Is the USB cable or network connection loose? Intermittent connections cause random stops.
Step-by-Step Fixes
Fix 1: Resume Printing and Clear Errors
- Go to Settings > Bluetooth & devices > Printers & scanners
- Click your printer, then Open print queue
- Click the Printer menu
- Make sure Pause Printing is NOT checked
- Click Cancel All Documents to clear the queue
- Try printing a fresh document
Fix 2: Restart Print Spooler
- Press
Win + R, typeservices.msc, press Enter - Find Print Spooler
- Right-click and select Restart
- Try printing again
Fix 3: Check for Firmware Updates
Printer bugs are often fixed in firmware updates:
- Go to your printer manufacturer's support website
- Search for your printer model
- Download any available firmware updates
- Follow the instructions to update your printer
Fix 4: Reinstall with Fresh Drivers
- Go to Settings > Bluetooth & devices > Printers & scanners
- Remove your printer
- Download the latest full driver package from the manufacturer
- Install and set up the printer fresh
If Nothing Worked
Random pausing can indicate hardware problems developing - especially in older printers. Try printing smaller jobs to see if large files trigger the issue. Also test from different applications to rule out software-specific problems.
When to Call a Pro
If random errors continue after driver reinstallation and firmware updates, the printer may have a hardware issue (failing sensors, worn rollers, etc.) that needs diagnosis. For office printers with high volume, professional maintenance can prevent costly downtime.
