Wrong Paper Size Error Even When Size Is Correct
Printer says wrong paper size but you've loaded the right paper? This mismatch is usually a settings issue. Here's how to fix it.
What's Happening
You've loaded Letter size paper, you're printing a Letter size document, but the printer keeps complaining about wrong paper size. Or it asks you to load A4 when you're in the US and have never seen A4 paper in your life. This frustrating mismatch happens when the printer, driver, or application disagree about what paper is actually in the tray.
Quick Checks (Do These First)
- Did you actually load the right size? Measure if you're not 100% sure.
- Are the tray guides set correctly? They tell the printer what size is loaded.
- What does the printer's display show? Check the tray settings on the printer itself.
- What does the document say? Check page setup in your application.
Step-by-Step Fixes
Fix 1: Set Paper Size on the Printer
- On the printer's control panel, go to paper or tray settings
- Select the tray you're using
- Set the paper size to match what you loaded (Letter, A4, Legal, etc.)
- Some printers auto-detect, but setting it manually overrides confusion
Fix 2: Adjust Tray Guides Properly
- Remove all paper from the tray
- Slide the side guides all the way out
- Slide the back/front guide to the appropriate size marking
- Load paper and slide side guides until they just touch the paper
- Guides shouldn't squeeze the paper, just touch it lightly
Fix 3: Set Paper Size in Print Settings
- When printing, go to Printer Properties or Preferences
- Look for paper size settings (often under "Paper/Quality" or "Advanced")
- Set the size to match what's in the tray
- Make sure source is set to the correct tray
Fix 4: Check Application Page Setup
- In your application (Word, Chrome, etc.), check Page Setup
- Verify the page size matches your paper
- In Word: Layout > Size
- In Chrome: More settings > Paper size when printing
If Nothing Worked
Reset the printer to factory defaults (this clears any stuck settings), then reconfigure the paper tray. Also check if there's a mismatch between US Letter (8.5" x 11") and A4 (slightly different dimensions) - your regional settings might default to the wrong standard.
When to Call a Pro
If size errors persist after checking all settings, the paper tray's size sensor might be malfunctioning, or there could be a driver issue that needs deeper troubleshooting.
