How to Fix Mismatched Page Size Settings Between App and Printer
Your prints are cropped, scaled incorrectly, or show paper size errors because your app and printer disagree on page size.
What's Happening
You click print, but instead of a perfect page, you get content cropped off the edges, everything shrunk to one corner, or an error message saying "paper size mismatch." This happens when your application is formatting the document for one paper size (like Letter) but your printer is set to use a different size (like A4), or vice versa. The confusion between these settings causes all sorts of printing problems, but it's actually one of the easiest printer issues to fix once you know where to look.
Quick Checks (Do These First)
- Check what's in the tray – Physically verify the paper size loaded in your printer
- Look at the document – In your app, go to Page Setup or Print Preview to see what size it expects
- Check printer display – Many printers show "paper size mismatch" errors on their LCD screen
- Try a test page – Print a printer test page (from printer settings) to verify it recognizes the paper size correctly
Step-by-Step Fixes
Fix 1: Match Application Page Size to Loaded Paper
The simplest fix is to make your document match the paper you have.
- In your application (Word, Chrome, etc.), look for File > Page Setup or Print Setup
- Find the Paper Size dropdown
- Select the size that matches your printer (usually Letter for US, A4 for international)
- Click OK
- Go to File > Print and verify the print preview looks correct
- Print your document
In Google Chrome: Click Print, then under "More settings" check the "Paper size" dropdown.
Fix 2: Change Printer Default Paper Size
Set your printer to always use the paper size you actually have loaded.
- Open Settings > Devices > Printers & scanners
- Click your printer
- Click Manage
- Click Printing preferences
- Look for a Paper/Quality or Paper tab
- Find Paper Size and select the correct size (Letter, A4, Legal, etc.)
- Click Apply, then OK
- Try printing again
Fix 3: Configure Paper Size in Printer's Physical Menu
Some printers need to be told what paper is loaded via their built-in menu.
- On your printer's control panel, press Menu or Setup
- Navigate to Paper Settings or Tray Settings
- Select Paper Size or Tray 1 Size
- Choose the size that matches your loaded paper
- Press OK or Save
- Return to your computer and try printing
This tells the printer "yes, Letter paper is actually in Tray 1" so it stops expecting A4.
Fix 4: Override Paper Size at Print Time
You can force the correct settings for a specific print job.
- Click File > Print
- Click Printer Properties or Preferences
- Find the Paper Size setting (may be under Advanced or Paper tab)
- Select the correct size
- Look for any "Scale to fit" or "Fit to page" options and uncheck them
- Click OK to close preferences
- Verify the print preview shows the full page
- Click Print
Fix 5: Fix Custom or Unusual Paper Sizes
If you're printing on non-standard paper (envelopes, photo paper, custom sizes):
- In your application, go to Page Setup
- Look for Custom Page Size or Manage Custom Sizes
- Enter exact dimensions (e.g., 4x6 inches for photo paper)
- Save this as a custom size preset
- Go to Print > Printer Properties
- Select the same custom size in printer settings
- Make sure Paper Type also matches (Photo Paper, Envelope, etc.)
- Print a test
If Nothing Worked
If you're still getting size mismatch errors after coordinating all settings, try printing to "Microsoft Print to PDF" to see if the document itself is formatted correctly. If the PDF looks perfect, the issue is in your printer settings, not the document. Some older printers have firmware bugs with certain paper sizes—check the manufacturer's website for firmware updates. Also verify you haven't loaded paper in the wrong orientation (portrait vs. landscape) in the tray.
When to Call a Pro
If your printer physically can't handle the paper size you need (trying to print Legal on a Letter-only printer), you may need different hardware. If the printer's paper sensors are damaged, it may misreport what's loaded, requiring repair. If you're dealing with professional printing workflows with unusual sizes and can't afford trial and error, expert configuration can save time and wasted materials.
