
Printer Shows 'Offline' Even Though It's On
Your printer says 'offline' but the power is on and it looks connected? This frustrating issue is usually a quick fix. Here's how to get it working.
What's Happening
You're trying to print something important and Windows says your printer is "offline" - but you can see it's clearly powered on. This is one of the most common and annoying printer problems, but don't worry. In most cases, it's a simple communication issue between your computer and printer that you can fix in a few minutes.
Quick Checks (Do These First)
- Is the printer truly on? Look for lights on the control panel - not just a power LED.
- Check cables or Wi-Fi. If USB, try a different port. If wireless, verify the printer shows a Wi-Fi connection on its display.
- Any error messages on the printer? Paper jam, low ink, or door open warnings can trigger offline status.
- Print a test page from the printer itself. Most printers have a button combo to print a test page - if this works, the printer hardware is fine.
- Is the correct printer selected? You might have multiple printers installed and the wrong one set as default.
Step-by-Step Fixes
Fix 1: Set the Printer to Online in Windows
- Open Settings > Bluetooth & devices > Printers & scanners
- Click on your printer name
- Click Open print queue
- In the window that opens, click the Printer menu at the top
- If "Use Printer Offline" is checked, click it to uncheck
- Try printing again
Fix 2: Restart the Print Spooler Service
The print spooler is the Windows service that manages all print jobs. Restarting it often fixes offline issues.
- Press
Win + R, typeservices.msc, and press Enter - Scroll down and find Print Spooler
- Right-click it and select Restart
- Wait 10 seconds, then try printing
Fix 3: Clear Stuck Print Jobs
Sometimes a corrupted print job causes the offline status.
- Open Services again (
Win + R, typeservices.msc) - Right-click Print Spooler and select Stop
- Open File Explorer and go to
C:\Windows\System32\spool\PRINTERS - Delete all files in this folder (don't delete the folder itself)
- Go back to Services, right-click Print Spooler, and select Start
- Try printing again
Fix 4: Remove and Re-add the Printer
- Go to Settings > Bluetooth & devices > Printers & scanners
- Click your printer, then click Remove
- Restart your computer
- Go back to Printers & scanners and click Add device
- Windows should find and reinstall your printer
If Nothing Worked
If the printer still shows offline, try downloading the latest driver directly from the manufacturer's website (HP, Canon, Epson, Brother) instead of relying on Windows' built-in drivers. Also check if your router recently updated - sometimes firmware updates break printer connections.
