Can't Find Printer on the Network
Windows can't detect your network printer? It might be there but invisible. Here's how to find and add a printer that's hiding on your network.
What's Happening
You know the printer is connected to your network - maybe you can see it from another device - but when you try to add it on your computer, Windows just can't find it. The "searching for printers" spinner goes round and round and finds nothing. This is frustrating, but there are several ways to force Windows to see your printer.
Quick Checks (Do These First)
- Is the printer actually on the network? Print a network status page from the printer itself.
- Are you on the same network? Check you're not on a guest network or VPN.
- Is network discovery enabled? Windows might not be looking for devices.
- Can other devices see the printer? If phones can print but PCs can't, it's a Windows issue.
Step-by-Step Fixes
Fix 1: Enable Network Discovery
- Go to Settings > Network & internet > Advanced network settings
- Click Advanced sharing settings
- Under your current profile, turn ON Network discovery
- Turn ON File and printer sharing
- Try adding the printer again
Fix 2: Add Printer Manually by IP Address
This bypasses automatic discovery:
- Find the printer's IP address by printing a network configuration page from the printer
- On your PC, go to Settings > Bluetooth & devices > Printers & scanners
- Click Add device
- Click Add manually (or "The printer I want isn't listed")
- Select Add a printer using TCP/IP address or hostname
- Enter the IP address (e.g., 192.168.1.105)
- Click Next and let Windows detect the printer type
Fix 3: Install Printer Software First
- Go to your printer manufacturer's website
- Download the full software package for your printer model
- Run the installer - it often includes better network discovery
- Follow the setup wizard to find and add the printer
Fix 4: Check Firewall Settings
- Open Windows Security > Firewall & network protection
- Click Allow an app through firewall
- Make sure Network Discovery is allowed for Private networks
- Make sure File and Printer Sharing is allowed
If Nothing Worked
The printer might be on a different subnet (especially in offices), or your router might have AP isolation enabled which blocks devices from seeing each other. You can also try temporarily disabling your firewall to test if that's the issue.
When to Call a Pro
If you've tried adding by IP address and it still doesn't work, or if you're in an office environment with managed networks, a technician can check for network segmentation, VLAN issues, or firewall rules that might be blocking printer access.
